Job Description

MINIMUM RESPONSIBILITIES:

 

  • Drafting and typing of letters, memos and other communique as identified.
  • Responsible for accurate filing and safekeeping of documents.
  • Arrange for meetings by drafting the agenda, recording and compilation of minutes within agreed and reasonable timeframes.
  • Ensure that minute books are always signed and up to date.
  • Verify the resolution matrix of all meetings.
  • Placing of approved policies by the Board on the intranet within 30 days after approval.
  • Compile Annual Year Planner and approved by the Board not later than December each year.
  • Finalize suitable travel arrangements for the Directors as and when required.
  • Maintain the gift register and declaration of interest for employees and directors.
  • Ensure annual revision and approval of Standing Orders of the Board.
  • Manage the timeous circulation of round robins and include results in subsequent Board agenda.
  • Confirm the Annual Strategic session with the Chairperson of the Board for finalizing logistical arrangements.
  • Assist internal/external auditors during audits when required
  • Send out Shareholder Compact, Business Plan and Policy Statement frameworks with deadlines to the Executives and other relevant stakeholders as per the legislative deadline.
  • Attend to Annual Report requirements and ensure photo shoot is arranged for Directors and Executives for insertion in the Annual Report on time for submission to DWAS and relevant stakeholders as per the legislative deadline.
  • Attend to the quarterly report as required for timeous submission.
  • Observe all Health and Safety protocols and procedures
  • Execute all additional functions as and when required.

 

 MINIMUM REQUIREMENTS:

 

  • National Diploma/B. Tech/Degree in Business Administration/Public Administration
  • Minimum of 3 years’ practical experience in working in the environment of the Board Administration.
  • Sound minute taking exposure to higher levels of management.
  • Attention to detail and professionalism.
  • Competent in MS Office.
  • Strong interpersonal and communication skills.
  • Valid Drivers’ License.
